The type of personal information I collect

Graphic design and illustration services:

I currently collect and process the following information when I’m asked to carry out graphic design and / or illustration services and in most cases this information is provided directly by you in order to carry out creative services:

  • Your name

  • Your business / company name

  • Your email address

  • Your business /company address

  • Your phone number

  • Any information related to a project as well as design / illustration files related to a project that you've asked me to carry out​​​​​​​. (Including any passwords clients share to access their files too)

Freeagent:

I collect your name, business / company name and address in order to input this data into my accounting software (Freeagent).

Email newsletter (EmailOctopus) sign up:

I currently collect and process the following information when you sign up to my email newsletter via my website:

  • Email address

My newsletter is powered by EmailOctopus which complies with GDPR and data processing regulations, when you sign up to my email newsletter you consent for this information to be collected and stored by EmailOctopus within the EU. If you provide your email address and subscribe, you can opt out of any future newsletters by clicking the unsubscribe link on the newsletter or by contacting me hello@chloetyler.co.uk.

EmailOctopus will also show me click and open rate data on any newsletter you receive from me.

Squarespace:

This website is hosted by Squarespace. Squarespace collects personal data when you visit this website, including:

  • Information about your browser, network and device

  • Web pages you visited prior to coming to this website

  • Web pages you view while on this website

  • Your IP address

Squarespace needs this data in order to run this website, and to protect and improve its platform and services. Squarespace analyzes the data in a de-personalized form.

I have disabled my Squarespace activity log so I don’t collect or view visitors’ IP addresses or other personal data. I have also disabled Squarespace analytics cookies so I don’t place non-essential cookies on visitors’ browsers.

How I get the personal information and why I have it

Most of the personal information I process is provided to me directly by you for one of the following reasons:

Graphic design and illustration services:

I use the personal information in order to carry out graphic design and illustration services. The personal information I process in relation to a project is provided to me directly by you. This is usually after you’ve contacted me via email or phone (provided on my website) to give me information so that I can help you with an enquiry about my creative services, provide an estimate and / or proposal and carry out creative services for you. Any personal information you give me when taking on a graphic design or illustration project is not shared with anyone else unless explicit consent is given.

Freeagent:

The personal data I collect for Freeagent is provided directly by you so that I can keep a record of invoices and accounting for tax purposes.

Email newsletter (EmailOctopus) sign up:

I collect your email address when you sign up to my email newsletter on my website and EmailOctopus also provides me click and open rate data from newsletters sent to you.

I use a form which requires your consent and has a double opt in process to confirm that you agree to giving me this information. I collect this information in order to send you occasional newsletters with updates about my work, new blog posts and new products.

I also receive personal information indirectly, from the following sources in the following scenarios:

Squarespace:

The personal data Squarespace collects in order for my website to function are collected when you visit my website. Squarespace needs this data in order to run this website, and to protect and improve its platform and services. Squarespace analyzes the data in a de-personalized form.

Cookies:

The functional cookies this website uses are used when you visit my website. The data these cookies collect are needed to securely serve the website to you.

Fonts:

The personal information listed in ‘The type of personal information I collect’ section is collected when visiting my website in order to display my website correctly to you. In providing the Adobe Fonts service for websites, Adobe Fonts do not set or use cookies in order to serve their fonts. While the Fonts service receives IP addresses so that it knows where to deliver the font, it does not store IP addresses.

Adobe uses the information collected from websites using Adobe Fonts to provision the Adobe Fonts service and diagnose delivery or download problems. This information is also used to pay and fulfill their contracts with the font foundries whose fonts are used. They share aggregate reporting with font foundries and they may confirm to a font foundry that I have a valid license from Adobe, but they do not otherwise share personal information with font foundries.

Lawful bases

Under the General Data Protection Regulation (GDPR), the lawful bases I rely on for processing this information are:

How I store your personal information

Graphic design and illustration services:

The information you provide to me when carrying out graphic design or illustration services is stored via email when you email it to me and if I download this information it is stored on my Mac, hard drive (password protected and locked away) and Onedrive. I will only store this information when asked to complete a proposal or a project is confirmed and I'm asked to provide graphic design or illustration services and you can email me to remove this information. When I save emails, this may be stored under a folder with your business / company name.

I am happy to delete design and illustration files on request (unless stated differently in my terms of business I send to you) but I have to store estimates and invoices for tax purposes. If you give me access to your files or folders in order to work on a creative project, you can remove my access at any time.

Your name and email address are automatically saved in my email account if you contact me using the email address provided on my contact page, please contact me if you would like this to be removed. I will keep your name and email address and any emails you’ve sent relating to projects in my email account for email contact purposes and for my records until you notify me that you wish for it to be removed. I will then delete this information.

If a client contacts me via phone and texts or leaves a voicemail this will automatically be store in my phone. I will likely add you as a contact to be able to identify you in future for project work. I am happy to delete this information on request.

Calls and project deadlines are put into my Google or Outlook calendar. This information can be deleted on request.

I keep all information relating to design and illustration services unless requested to delete it or I’ve confirmed with a client that I can delete it.

Freeagent:

If graphic design and illustration services are carried out, your personal data such as name, business / company name, project name and address will be used for estimate / invoices and will be stored for accounting reasons on my Mac, secure hard drives and Onedrive as well as in my accounting software: Freeagent. This is so I can use the information for tax purposes. I will keep this information for my records and for tax purposes. Please contact me if you wish for this to be deleted and I will then delete the information when I no longer need it for tax purposes.

Email newsletter (EmailOctopus) sign up:

Your email address and information about how you have interacted with my email newsletters (open rates, clicking links, click rates) is stored within EmailOctopus. If you unsubscribe from my newsletter you will no longer receive newsletters from me, However, I will still be able to see your historical activity (open rates, links and click rates). If you wish for this information to be removed entirely from EmailOctopus, please get in touch and I will delete your historical activity, contact email and name.

Squarespace and Adobe Fonts:

The information Squarespace collects in order to display my website are stored within Squarespace. It is not possible for me to delete individual records. I am also unable to remove cookies from your computer; information on managing cookies can be found on the ICO website.

Passwords:

I use strong passwords for any services I use to carry out creative services. I also use 2 factor authentication where possible. Some passwords are stored on my Mac. If you have provided me with a password to carry out creative services for you, I’m happy to remove these on request and I often run an audit on these and delete them when they are no longer required and a project has ended.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask me for copies of your personal information.

Your right to rectification – You have the right to ask me to rectify personal information you think is inaccurate. You also have the right to ask me to complete information you think is incomplete.

Your right to erasure – You have the right to ask me to erase your personal information in certain circumstances.

Your right to restriction of processing – You have the right to ask me to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that I transfer the personal information you gave me to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, I have one month to respond to you.
